Lease Documentation
Prior to the move-in, lease documentation will be finalized, such us signing of lease contract and collection of post dated cheques.
Collect valid tenant documents as required.
We will coordinate on the property owner’s behalf for any specific request from the tenant and the same will be provided as per the approval of the property owner and in accordance with the rules/regulations of concerned authority.
Cheque Collection & Deposit
Post dated cheques will be collected from the tenant.
Cheques to be issued by the tenant in favor of the property owner.
Cheque date has to be inline with the lease agreement’s rental installment schedule.
Our accounts team will deposit the cheques on timely manner.
In cases, where the property owner does not have a local UAE bank account, a POA will be needed to authorise us to receive the lease rent in our account and then transfer to the property owner’s international account (any international bank transfer charges will be the property owner’s obligation to pay and the same will be deducted from the rental proceeds).
Tenant Move-In
The property will be inspected prior to any move in to ensure it is in a good, clean and acceptable condition.
A detailed list of snags that need to be fixed or replaced shall be prepared during a joint inspection with the tenant & our property manager. Photos taken for the problems and a detailed snag report is prepared and shared to the property owner for approval along with quotations.
We will then proceed and arrange contractors to rectify the snags.
Pre move-in cleaning will then be carried out.
Tenant will sign the move-in property condition report.
Move in security deposit will be required by the building management which the tenant has to provide for move in of furniture/items. Move in forms must be filled in & move in documents must be provided.
Keys, parking & building access cards will be checked, to be in a working condition.
Registering Ejari
Our dedicated property manager will apply for the Ejari registration with the respective Ejari trustee center.
The tenant will be liable to pay the Ejari fee.
We will assist with the necessary NOC and make sure that the tenant connects the required utility accounts.
Upon expiry of the lease contract, we will apply to renew/ cancel the Ejari depending on the agreed terms with the tenant.
Maintain Petty Cash Fund
An independent petty cash fund account will be maintained for the property for any maintenance and incidental expenses that is to be paid by the property owner.
If the petty cash fund account is depleting, a top-up request will be timely notified by us to the property owner.
Renewal Of Tenancy Contract
Timely renewal notice will be sent to the tenant by courier/ email, 90 days prior to the expiry of lease contract in accordance with the law and RERA rental index regulator.
All renewal negotiations will be handled by our dedicated property managers.
Timely follow ups with the tenant will be done for lease renewal decision via phone calls & emails.
All relevant renewal documentation will be issued by us.
If the tenant decides to vacate, we will know this in advance and accordingly will find a new tenant as close as possible to the move-out date.
Payment Default Management
Any dishonored/bounced cheque will be notified to the tenant and appropriate bounce cheque fee collected from the tenant.
Follow-ups will be made with tenant to replace the dishonored cheque.
In scenarios that a tenant requests to hold a cheque for few days, based on the tenant’s payment record, and understanding the tenant’s situation for holding a cheque this will be conveyed to the owner for approval.
Tenant Move-Out
Inspection will be conducted for any damages caused in the property due to the tenant’s negligence or due to wear & tear.
A detailed snag report will be provided to the tenant and accordingly deductions shall be made from the security deposit.
The same snag report will then be sent to the property owner along with the quotations for approval.
If approved by the property owner, rectification of damages will be done accordingly.
Tenant will have the option to do the rectification by their chosen contractor however to ease the move out if Tenant confirms to bear the cost we will arrange contractors to rectify the snags.
Building Management Dealings (Owners' Association)
Payment of service charges can be arranged from the rental amounts received from the tenant.
A POA will be needed to authorise us to receive the lease rent in property management company account and then transfer the net rental amount to the property owner’s account (any international bank transfer charges will be the property owner’s obligation to pay and the same will be deducted from the rental proceeds).
Property Maintenance Management
An annual maintenance contract can be provided for the property at an additional cost.
Our team will coordinate to ensure regular planned preventive maintenance for MEP services are carried out in the property.
Skilled technicians handle routine maintenance and repairs at discounted rates.
Annual pest control service.
Supplementary item procurement (of any damaged/replacement items)
Beneficial for maintaining the property assets and extend the life of in property MEP equipment.
Financial Accounting
Our dedicated finance team will share quarterly statement of accounts for the rental cheques deposited, bills paid on the property owner’s behalf from the petty cash funds.
A year end statement may also be shared at the end of each yearly tenure upon request.
Dispute Mediatory Resolution
Our dedicated property manager will email the tenant for any contractual breach.
The dedicated property manager will meet the tenant to find a solution to remedy the breach.
A resolution update may be shared to the property owner upon request.
Legal Services For Rent Default & Eviction
We will assist in providing legal assistance such as legal notices, if the tenant defaults their rental obligation and no corrective action is taken by the tenant.
Upon expiry of the notice period, we will assist in registering the case with the Rental Dispute Centre (RDC) and claim for the rental dues and eviction of the default tenant.
Our dedicated team will make follow-ups with the RDC on the key hearing dates.
Our dedicated team will handle receiving the property from the court bailiff.
Our property managers will then follow the due steps for renting the property to another suitable tenant.
Legal Services For Lease Renewal Dispute
We will assist in providing legal assistance if the tenant/ property owner files a legal case with RDC regarding the lease renewal T&C.
Upon expiry of the notice period, we will assist in registering the case with the Rental Dispute Centre (RDC) and claim for renewal.
